We are currently looking to recruit an Executive Assistant who will work in our Chairman’s Office. This person will act as a direct representative of the Chairman (who is also our Chief Creative Officer) to cultivate strong client relationships and extend the value of our brand and through each interaction we have with our clients, affiliate businesses, vendors and new business prospects.
The responsibilities of the role will be varied but shall include:
• Assist with the management of the Chairman’s complex calendar and meeting requests, while helping to establish appointment priorities.
• Help arrange the Chairman’s business and personal travel (both private and commercial).
• Oversee and maintain an extensive database of worldwide contacts.
• Manage daily monitoring of newspapers, trade, and consumer publications for relevant articles, relevant press placement and future opportunities.
• Conduct research – either online or from the library - for a variety of project.
• Summarize content of incoming materials including specifically requested data.
• Compose internal and external correspondence on behalf of the Chairman.
• Independently research, summarize and prioritize multiple requests and business inquiries addressed to the Chairman, including those of a sensitive and/or confidential nature; determine appropriate course of action, referral, and/or response and follow-up.
• Screen the Chairman’s phone calls and email; assess, filter and forward relevant items to his attention and follow through with appropriate action.
• Preparing call lists and status reports for review and use by the Chairman.
• Work with the Publications Manager to ensure all press is recorded in the electronic and printed press compendium and is accessible for distribution.
• Maintain an extensive personal digital photo library. Catalog, distribute and file photos accordingly.
• Advise and direct the Chairman’s driver including the coordination of personal and business related errands.
• Help manage and coordinate personal shopping and medical appointments on behalf of the Chairman.
• Managing the flow of information between the Chairman, relevant agency teams and our clients.
The successful candidate should have a Bachelors degree and possess the following characteristics:
• Sophisticated, confident, cultured, intelligent and independent.
• Candidates who have past experience supporting a C-level Executive preferred.
• Must be multi-lingual (Asian languages strongly preferred). Preferably two languages in addition to English.
• Travel is extensive in this role. Must be excited and eager about international and domestic travel.
• Ability to deal with high-level relationships in a sophisticated manner both internally and with clients and new business prospects.
• Knowledge and experience in the Pacific Rim.
• Experience in the creative or production of film, video, photography or music is preferred.
• Ability to produce quality work on short deadlines and experience working in a highly demanding environment.
